We are a growing specialist medical practice providing sleep and respiratory services across multiple locations in Victoria. This is a varied role suited to someone who enjoys working with people, can confidently manage competing priorities and is happy to jump in and support the team wherever needed.

About the role

As part of our administration team, you will often be the first point of contact for our patients and play an important role in keeping the day-to-day operations of the practice running smoothly. Your responsibilities will include:

• Welcoming patients and providing a friendly and professional experience
• Managing incoming phone calls, emails and patient enquiries
• Scheduling and coordinating appointments across multiple clinicians, services and locations
• Managing referrals and maintaining accurate patient information
• Processing patient accounts and payments
• Supporting clinicians with day-to-day administrative requirements
• Scanning, filing and managing medical correspondence and documentation
• Liaising with patients, referring practices, hospitals and other healthcare providers
• Assisting with general administration and other tasks as required
• Working collaboratively with our wider administration and clinical teams

About you

We are looking for someone who is approachable, reliable and enjoys being part of a busy team. You will ideally have:

• Previous experience in medical reception, medical administration or a similar customer-facing role
• Excellent written and verbal communication skills
• Strong organisational skills and attention to detail
• Confidence managing multiple tasks and changing priorities
• Good computer skills and the ability to learn new systems quickly
• A professional and friendly approach when communicating with patients and staff members
• The ability to work both independently and as part of a team
• A willingness to learn and take on new responsibilities
• A calm and practical approach when working in a busy environment
• Experience using Zedmed or other medical practice management software would be highly regarded, however training can be provided for the right person

Hours

• This position is based at our Ballarat practice and is part-time, 3–4 days per week.
• Our current office hours are Monday to Friday, 8:30am – 5:00pm.
• Flexibility to work across different weekdays is required.
